How to Create Groups

Create a new group in Beacon as an Admin

Start from your Admin profile. Navigate to Groups using the left-side menu.


Admins can create two types of groups: Global groups, which are available across all Learning Experiences, and Facilitator groups, which are assigned to a specific facilitator.

Create a Global Group

Global groups have no primary facilitator and are visible to all facilitators across all Learning Experiences. Use these for broad organizational groups like Students, Staff, or 3rd Grade.

Only Admins can create and manage Global groups.

  1. Select Groups from the left-side navigation menu.

3. Enter a group name, leave the facilitator field blank, and select Save.

Leaving the facilitator field blank is what designates this as a Global group. It will be visible to all facilitators in the system.

You can add learners faster by entering their email addresses directly instead of searching by name.

Your new Global group will appear in the Groups list and will be available for both Admin and Facilitator users.


Create a Facilitator Group

Facilitator groups are tied to one primary facilitator. Use these when a specific facilitator owns and manages the group - for example, a class section like English 9 - Period 3.

  2. Enter a group name, assign a primary facilitator, and select Save.

The primary facilitator will now be able to access and manage the group in their Facilitator profile.

  • What's the difference between a Standard group and a Global group? Standard groups are assigned to one primary facilitator and are tied to their profile. Global groups have no primary facilitator and are visible to all facilitators across all Learning Experiences. Use Global groups when multiple facilitators need to share the same set of learners.

  • Can learners see which group they're in? No, learners do not see group names. Groups are an organizational tool for admins and facilitators only. Learners are not notified when they are added to or removed from a group.

  • Can I assign more than one facilitator to a Facilitator Group? A Facilitator Group has one primary facilitator. To give additional facilitators access to the same learners, add them as co-facilitators within the Learning Experience, not at the group level.

  • Can I delete a group? Yes, but use caution. Deleting a group permanently removes it and cannot be undone. If you want to retain the data but remove the group from active views, set an end date instead.
