Select the Learning Experiences tab, then select the Learning Experience where you want to create a task.

Creating a Task
Select the
icon in the bottom right corner of the screen to open the Global Actions menu and select Create task.Complete the fields — any field marked with * is required:
Task Name: enter a name for the task.
Subtask of: select a parent task to make this a subtask. Leave blank if this is a main task.
Type of Task: select a task type from the dropdown, or choose Other and enter a custom name.
Due Date (optional): the date by which the task and/or evidence is due.
Expiration Date (optional): the date after which the task will no longer accept evidence.
Assign Task: assign to All Learners or select specific learners.
Skills: select the skills you will be rating for this task. Skills from your framework will appear as you type.
Instructions (optional): enter any instructions for learners.
Links (optional): add resources or documents for learners to access by adding a link, a file from Drive, or uploading a file. See Attaching Files from Google Drive for more information.
Select Save.
Tasks are sorted alpha-numerically, not by creation or date. Add a number or letter at the start of each task name (e.g., 1., 2., 3.) to control the order.
Attaching Files from Google Drive
In the Resources section of the task builder, select Add from Drive.
*The first time you attach a Drive file, you will be prompted to sign in to your Google account. This is a one-time step.
Locate and select the file you want to attach.
Select a sharing setting:
View Only: Learners can view the file as a resource for the task but cannot edit it.
Edit Together: All assigned Learners work in the same shared copy, and the shared copy is added to their evidence.
Individual Copy: Each Learner receives their own individual copy and the copy is added to their evidence.
Select Save to confirm the task.
If using Edit Together or Individual Copy, it may take up to a minute for the file to finish processing after the task is saved before it will appear in learner evidence.
Only the primary facilitator has the option for Individual Copy.
What happens next:
For Edit Together and Individual Copy, the file is automatically added to the Evidence section as an attachment for each assigned Learner - the learner does not need to update any permissions for the facilitator to view evidence.
Both Facilitators and Learners can access files directly in Beacon, or find them in Google Drive under Beacon Files → the Learning Experience name → the task name. If another facilitator needs access, the task or LX folder can be shared on Drive.
Any Learners added to the task after it is created will receive the same sharing setting automatically.
🤔 FAQs
Can I create subtasks? Yes, once a main task exists, you can create subtasks by selecting it in the Subtask of field when creating a new task.
What happens after the expiration date passes? The task will no longer accept evidence and will become a read-only file.
Can I assign a task to specific learners instead of everyone? Yes. Use the Assign Task field to select individual learners rather than assigning to all.
Can I copy over my current Google Classroom tasks? No, this is not currently a feature on Beacon.
